art-K is a private art education service which teaches children (who love art!). art-K has developed a specialist art program that tutors art skills to create great pieces of art. We are the largest children's art education service in England, teaching over 8000 children nationally per week!
As a key member of the Central Team, your primary mission is to provide crucial operational support, enabling our studios to run efficiently and maintain a competitive edge. Ultimately, your work helps us deliver the fun, creative experiences that families, children, and adults expect. This role has a special focus on our parties and events.
Job purpose
The job holder will be instrumental in the growth of the company by managing and administrating the software for parties and off-site events, and allocating contractor and human resources to lead and assist parties.
As a medium-sized company, art-K is committed to and values each member of staff; art-K is in a growth phase so by establishing a good track record, the successful applicant can consider their future role development. Options will include growth in hours or change of role in the central team as opportunities arise or, in teaching which may offer relocations to branches opened across the UK.
You will be supervised by one other full-time employee, and share this role with another part-time employee.
Currently there are around 40 parties and events per month and the object is to double this number.
Job responsibilities
The purpose of the role is to support parties and events planning, which include:
Administer and maintain the parties and events procedures by qualifying customer enquiries and coordinating resources to support the party/event.
Ensure all parties and events are effectively resourced in a timely manner to meet the deadlines required in order to confirm the customer’s booking.
Use and maintain various company software systems which may change from time to time.
Attend weekly meetings to confirm actions and results.
Write up daily outstanding tasks for other part-time employee to pick up seamlessly.
Assist with parties and events promotion such as:
creating/amending promotional brochures and social media.
exploring areas in the community to promote art-K parties and events
liaising with businesses to promote art-K events
costing up bundles of service to offer customers

Other activities that may need to be supported:
Providing Outreach activities at OXO and supporting the OXO exhibition project in general (overtime may be claimed and offered for this on a fixed term period).
Ad hoc support with party and events admin tasks including support covering during sickness or absence periods flexibly.
Optional providing off-site events activities if within working hours.
Optional extra hours for ad hoc cover for illness in the parties and events team on the days you are not working
All training will be provided to ensure you feel confident taking on these tasks.
Formal Qualifications
English A level, grade A and above
Good level computer skills
Customer service experience would be preferable
Bachelor’s degree, 2:1 or above
The ideal candidate will have:
Proficiency in Microsoft Office applications generally, with a focus on Microsoft Word, is essential.
High level of English writing ability to be able to draft content and respond to questions by email.
Over time and with growing confidence, an individual who can inspire people with the energy they bring to the role.
An individual who can effectively communicate balancing the needs of the company with the needs of the individual.

A person who is passionate about children’s artistic development.
Analytical skills are essential to determine whether processes and approaches are working as desired.

Schedule:
Monday, Thursday
16 hours a week (worked in 2 x 8 hours including 30’ paid break) between 9-5pm
Location: In-person, required to work at art-K Winchester

About art-K
art-K was founded in 2000, to create a safe space where children can feel comfortable to explore their artistic skills. The art-K programme was created with a deep understanding of child development, child engagement, visual skills and artistic techniques, allowing the art-K teachers to create the safe environment by personalised the programme to children's individual needs.
Since deciding to expand art-K in 2016, art-K has grown to 50+ clubs, teaches 8000+ students per week (of which 1000 of our students are now adults), and employs over 100 permanent art teachers and 100s of art assistants.
Our goal is to ensure that every child or adult passionate about art has the opportunity to be a part of an art-K club in their local area. We’re looking to build a community of individuals who share a common passion and enthusiasm for creating art.
